Key Responsibilities
Front Office & Guest Management
- Greet and welcome visitors, clients, and guests in a courteous and professional manner
- Ensure a positive first impression aligned with corporate image standards
- Coordinate guest arrivals and notify hosts/sponsors immediately
- Follow up with hosts when guests are not attended to promptly
Visitor & Access Control
- Issue visitor badges, temporary cards, service badges, and access cards
- Ensure proper authorization for visitor entry as per security protocols
- Verify visitor identity including government ID and laptop registration where required
- Track and ensure return of all ID/access cards from stakeholders
- Maintain visitor logs and ensure accurate record keeping
Safety & Compliance
- Conduct safety briefings for visitors, clients, and interview candidates
- Share emergency and safety guidelines as per company standards
- Ensure strict adherence to client safety and security protocols
- Participate in emergency evacuation, crisis management, and business continuity procedures
Front Office Operations
- Ensure cleanliness and upkeep of lobby, lifts, and public areas
- Coordinate with night shift teams for seamless visitor management and badge readiness
- Maintain daily reconciliation and shredding of visitor badges
- Assist visitors with special needs, including accessibility support
Communication & Coordination
- Handle visitor/client complaints and feedback and escalate as per defined matrix
- Coordinate effectively with internal stakeholders and front office teams
- Support taxi booking and transport coordination when required
- Ensure smooth communication between guests and internal teams
