  • Job Description - Front Office Executive

What this job involves:

As a Front Office Executive, you will serve as the first point of contact for visitors and callers, creating a positive and professional first impression of ORGANISATION. You'll manage the reception area, handle communications, maintain records, and support various administrative functions while ensuring exceptional customer service and smooth daily operations at the heart of our business.

What your day-to-day will look like:

  • Welcome visitors warmly and professionally, providing guidance and assistance to guests and employees
  • Manage all incoming and outgoing calls with professionalism, including call distribution and tracking
  • Maintain and update the front office area, including display of current magazines and newspapers
  • Update and maintain records and databases, including telephone registers, call tracking logs, and client contact information
  • Perform general administrative duties and help desk tasks in compliance with ORGANISATION regulations
  • Contribute to monthly management reports for clients and participate in emergency evacuation procedures
  • Support conference room management, events coordination, flower arrangements, and develop policies and procedures for reception functions
  • Desired or preferred experience and technical skills:
  • 1-5 years of experience in front desk management or reception roles
  • Required Skills and Experience:
  • Bachelor's degree in any discipline or commensurate work experience
  • Exceptional customer service focus with outstanding interpersonal and communication skills
  • Strong multitasking abilities with excellent attention to detail
  • Professional appearance and demeanor
  • Ability to interact effectively with client staff at all organizational levels
  • Proactive problem-solving skills and ability to work independently

  • Proven experience with continuous improvement initiatives and client reporting
  • Strong computer literacy with ability to manage activities using multiple systems
  • Familiarity with occupational safety requirements
  • Experience in commercial real estate or corporate office environments (preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
