About the Company
We are a boutique executive search firm specialising in high-value, niche markets across Asia and developed markets. We operate as an AI-native business — meaning we build automation, use AI tools daily, and actively replace manual processes with intelligent systems. Every person on our team punches well above their weight. We're growing to 20+ people and need someone to sit at the intersection of growth, operations, and systems — helping us run smarter, not just bigger.
About the Role
This is not a traditional marketing job. You won't be writing copy from scratch or managing ad budgets. You will be building and operating the systems that generate pipeline, surface insights, and keep the leadership team aligned.
Responsibilities
- Business Development Operations
- Build and run outbound meeting generation campaigns using Clay, Apollo, and AI-personalised email/LinkedIn sequences
- Identify target companies using hiring signals (funding rounds, leadership changes, headcount growth)
- Track BD pipeline and follow up on behalf of consultants and BD reps
- Prepare client briefing packs, proposals, and pitch decks using AI tools
- Internal Analytics & Dashboards
- Build and maintain dashboards tracking KPIs: pipeline velocity, placement rates, consultant activity, outreach performance
- Connect our CRM to reporting tools — make data visible and actionable for leadership
- Produce weekly and monthly performance summaries for the COO
- Content & Case Studies
- Interview clients and candidates, then use AI to draft and publish case studies and thought leadership content
- Maintain our content library in Notion
- Manage our LinkedIn presence and posting schedule using Taplio
- Systems & No-Code Tools
- Build and maintain automations in n8n and Zapier — data enrichment flows, CRM hygiene, notification triggers, WhatsApp transcription pipelines
- Create internal tools and widgets that reduce manual work for consultants
- Coordinate with our Head of Product on tooling improvements and new integrations
- Leadership Coordination
- Act as an operational bridge between the CEO and Chief Product Officer
- Manage follow-ups, track open items, and ensure priorities are moving
- Run the internal cadence: prepare weekly ops reviews, track action items
Qualifications
- 1–3 years in a startup, consulting firm, analytics, or operations role
- Experience with CRM systems (any — HubSpot, Salesforce, Recruit CRM, etc.)
- Exposure to outbound sales or demand generation is a strong plus
- Fresh MBA or analytics postgraduate welcome if you have strong tool skills
Required Skills
- Technically fluent — you've built something with n8n, Zapier, Airtable, Notion, or a similar no-code tool. You figure out new software in hours, not weeks.
- Analytically sharp — you're comfortable with spreadsheets and dashboards. You can look at a CRM pipeline and tell a story about what's working.
- Organised to a fault — you track open items, close loops, and make sure things don't fall through the cracks.
- AI-native — you use Claude, Perplexity, or ChatGPT daily. You know how to prompt effectively and get production-quality output.
- A strong communicator — your written English is excellent. You can draft a client email, a case study, or a LinkedIn post that sounds like a senior professional wrote it.
- Curious about business — you find executive search and talent markets interesting. You want to understand why companies hire who they hire.
Preferred Skills
- You are not a designer (we use Canva and AI for visuals)
- You are not a paid media specialist
- You are not a traditional content writer who needs to write everything from scratch
- You are not someone who needs a fully defined job — this role will evolve fast
