Scope:
- As a subject matter expert, this role is required to appropriately deliver to functional (Mobility) requirements in all available mandates in individual capacity with adequate domain specific competence, experience & exposure.
- Should primarily execute the process assigned compliant to company internal guidelines on mobility, business requirement and consular guidelines accurately during the visa process with strong analytical skills.
- Process visas with accuracy in all associated aspects of operation & consultation. Which primarily includes but not limited to right consulting, appropriate data validation, accuracy in company letter issuance, Document validation, Data validation, Communication, risk assessment, Ensuring compliance of specific process/document, Consular rule validation etc.. Perform in all associated verticals of the role & the job assigned with complete accuracy and display domain & professional best practices in day-to-day performance/operational activities following .
- While delivering the role specific overall work assigned, the associate must demonstrate the required competence and execution accuracy.
- Cater mobility requirements for India in both outbound & inbound segments.
- Follow manual operation model & processes of Consulates & Embassies in India
- Perform day to day Immigration operations with best of skill & knowledge as per internal process.
- Handle case & process management with compliance.
What you'll do:
- Responding queries, New requests & case status over emails, MS Teams, phone calls & meetings
- Handle visa related queries from managers & associates.
- Share Checklists and guidelines on visa requests.
- Manage end to end documentation, data validation, compliance check on specific visa requests.
- Manage mobility record keeping on step-by-step progress.
- Coordinates with external vendors & service providers in obtaining legal documents for visa processing.
- supervises vendor for visa application submission at consulates & embassies.
- Ensure associate information accuracy & confidentiality
- Ensure visa compliant purpose & duration of travel while preparing company letters
- Prepare covering letters for All Business visas & short-term & Long-term work visas.
- Collect All visa copies from associate post visa approval. Secure one copy of i-129s for L-1 visas for Consular audits.
- Provide Post arrival formalities guidelines to associates travelling overseas.
- Performs visa briefing with associate
- Coordinates with BY Finance & external service providers to arrange visa fee related DDs, Insurance
- Regular tracking of visa submissions
- Timely follow up with associates for data collection
- Coordinates with the Global Mobility team & law firm for visa related documents
- Arranges briefing sessions with law firm for work permit applications
- Acts as sole point of contact for LATAM visas between the stakeholders & India service provider
- Coordinates for legal letters with law firm, Government agencies in India & lawyers
- Shares traveller's checklist with all process partners post visa approval - each associate
- Secures critical appointment for various visa application submission for multiple countries
- Manages all Immigration records & workday entries
- Partners & coordinates on daily basis with the Global Mobility team in US & other regions on visa case processing
- Provides traveller assistance to overseas assignees
- Sends pre-alerts for specific country's visa applications
- Monitors external service provider and tracks case processing with the consulates
- Extensively coordinates over additional logistics requirement between the associate & the India service provider & the Consulates occurring due to cultural shift on work model.
- Timely complete all the domain related tasks/work, visa cases assigned at individual capacity
- Maintain cent percent accuracy in operations & executions with no margin for error.
- Exhibit required smart approach & appropriate delivery strategy in visa case management to meet expectations.
- Demonstrate role specific adequate skillsets & knowledge in all dimensions of mobility function.
What we are looking for:
- Must have 7 to 10 years of continued working experience in Immigration.
- Must have knowledge & experience of doing Business visas for US & European or APAC countries in IT companies. Profiles with experience of doing US work visas only( like L-1B , H-1B, Green card), not to be considered.
- Should be working in core Immigration domain/team and not in Global Mobility wings like Tax, Accounts, Global assignments ete.
- Should not be merely in a job of a company coordinator for Visa team for external partners. Should be doing visas on his/her own.
- Associate must be notified that the role will be on a Hybrid model & not fully work from home. This may convert to full time office on later stage if required.
- Very good communication skills required.
