About the Firm:
Satish Ahuja & Associates is a premier architectural practice with a distinguished 30-year legacy of shaping the skyline of Navi Mumbai and Mumbai. We are currently embarking on a significant phase of growth and are expanding our core team. We are looking for a highly articulate, organized, and confident Front Office Administrator to serve as the face of our studio and manage daily operational efficiency.
Location: Navi Mumbai
Remuneration: ₹20,000 – ₹25,000 per month (Commensurate with experience)
Key Responsibilities:
- Document Management: Meticulously maintaining the outward book/register for all outgoing drawings, letters, and technical documents sent to clients, consultants, and municipal authorities.
- Follow-ups: Proactively coordinating and following up with clients for outstanding fees and payment retrieval, tracking collections with professionalism and persistence.
- Studio Management: Overseeing the day-to-day operations and maintenance of the front office, ensuring a disciplined, high-status presentation of the workspace.
- Client & Visitor Relations: Acting as the primary point of contact for high-profile clients, developers, and consultants, managing communication with confidence and authority.
- Call & Mail Filtering: Handling the central office switchboard, filtering spam, and accurately routing important inquiries, emails, and messages to senior leadership.
Candidate Requirements:
- Location: Must be residing within a commutable distance from our Vashi, Navi Mumbai office to ensure punctuality and ease of daily travel.
- Personality & Communication: Must possess a confident, bold personality with exceptional command over both spoken and written English.
- Software Proficiency: Strong working knowledge of MS Office (Word, Excel, etc) for managing data, tracking lists, and formal email correspondence.
- Industry Experience: Prior experience of minimum 2-3 years is mandatory and candidates who have worked in an architectural firm or real estate office is considered a significant added advantage.
- Mobility: Ownership of a two-wheeler and a valid driving license is an added benefit for occasional local operational coordination.
- Punctuality & Reliability: Strong time management skills with a track record of maintaining high attendance and punctuality in a corporate environment.
