Job Description

We are looking for a friendly, organized, and professional Front Office Executive to manage our front desk and perform a variety of administrative and clerical tasks. As the first point of contact for the company, the Receptionist plays a key role in creating a welcoming and professional environment for visitors, clients, and employees.

Key Responsibilities:

  • Greet and welcome guests in a warm and professional manner.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Maintain a tidy and organized reception area.
  • Handle incoming and outgoing mail and packages.
  • Maintain office security by following safety procedures and controlling access (monitoring logbook, issuing visitor badges).
  • Schedule appointments and manage meeting room bookings.
  • Provide basic and accurate information in-person and via phone/email.
  • Assist with administrative tasks such as filing, data entry, photocopying, and preparing documents.
  • Maintain inventory of office supplies and notify management of shortages.
  • Coordinate with various departments for administrative support.

Requirements:

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional attitude and appearance.
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • Customer service attitude.
  • High school degree; additional certification in Office Management is a plus.
