The Front Office Executive is responsible for delivering a professional, welcoming, and efficient reception experience for all employees and visitors. This role ensures smooth front desk operations, supports visitor and employee needs, and upholds site standards.
Key Responsibilities
- Warmly greet and assist employees, visitors, vendors, and guests.
- Manage Visitor Management System (VMS) through Traction Guest, including registration, badge issuance, and coordination with hosts.
- Maintain a clean, organized, and well-presented front desk and lobby area.
- Handle incoming calls and direct inquiries to the appropriate departments.
- Issue and manage access cards, identity badges, welcome kits, and new-joiner essentials.
- Maintain inventory of welcome kits, temporary badges, and related supplies.
- Assist new joiners with onboarding support and business-travelrelated arrangements when required.
- Coordinate visitor transfers, accommodation support, and airport pickups based on requests.
- Support building services by helping resolve issues related to housekeeping, mailroom, meeting rooms, and other amenities.
- Ensure compliance with security protocols and emergency response procedures.
- Maintain daily logs, visitor records, and follow opening/closing desk procedures.
- Follow the 15/5 customer engagement rule to ensure a high-quality guest experience.
Operational & Compliance Support
- Assist in Govt. official visits by following defined procedures and coordination protocols.
- Ensure visitors and employees follow badge protocols and access control requirements.
- Maintain accurate sign-in/sign-out records and ensure badges are returned after visits.
Standards & Conduct
- Maintain professional attire and a courteous demeanor at all times.
- Ensure personal items and food items are not displayed at the desk.
- Provide direction, assistance, and local information to employees and visitors.
- Uphold client policies, security rules, and building processes.
