Role Description

This is a full-time, on-site role for a Front Desk Receptionist/Executive Assistant to the Managing Director, located in Navi Mumbai. The professional in this role will manage front desk operations, handle reception duties, answer phone calls, greet visitors, and provide excellent customer service. Additional responsibilities include administrative and clerical tasks, such as scheduling meetings, managing correspondence, and assisting the MD in day-to-day operations.

Key Responsibilities:

  • Greet and direct visitors in a professional and friendly manner. Ensure all visitors sign in and out as per company protocols.
  • Answer and direct incoming phone calls, take messages, and provide general information to callers.
  • Assist in scheduling appointments and meetings for staff, ensuring proper organization of the office calendar.
  • Receive and distribute incoming mail and packages. Prepare outgoing mail and shipments.
  • Assist with administrative tasks such as data entry, filing, and organizing documents.
  • Ensure that the front desk area is clean, organized, and stocked with necessary office supplies.
  • Provide high-quality customer service, addressing inquiries and resolving issues as needed.
  • Work with other departments to ensure smooth communication and coordination across teams.

Skills & Qualifications:

  • Previous receptionist or administrative experience is preferred.
  • Strong verbal and written communication skills.
  • Familiarity with office software (Microsoft Office, email, etc.) and phone systems.
  • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Excellent interpersonal skills with the ability to interact with a diverse group of people.
  • Ability to handle customer inquiries and resolve minor issues efficiently.
