Job Title: Receptionist (Front Desk Executive)
Location: Gurugram
Department: Front Office
Key Responsibilities:
- Greet clients warmly and ensure a professional and pleasant front desk experience.
- Manage incoming calls, emails, and walk-ins; provide accurate information about clinic services.
- Schedule, confirm, and manage client appointments using clinic software (e.g., Zenoti, Amoga, or relevant system).
- Maintain client records and ensure confidentiality in line with company policies.
- Coordinate with doctors, therapists, and other staff to ensure smooth client flow.
- Handle billing, payments, and issue receipts/invoices to clients.
- Manage daily cash and reconciliation reports.
- Assist in maintaining the reception area's cleanliness and professional appearance.
- Support marketing initiatives by informing clients about offers, packages, and follow-ups.
- Address client queries, concerns, or complaints professionally and escalate when required.
- Maintain attendance records, daily reports, and assist with administrative tasks as directed.
Requirements:
- Education: Graduate (preferred in Hospitality/Administration/Commerce).
- Experience: 13 years of experience as a Receptionist/Front Office Executive, preferably in an aesthetic/healthcare/hospitality setup.
- Skills:
- Excellent communication skills (English & Hindi; knowledge of local language is a plus).
- Pleasant personality with strong customer service orientation.
- Proficient in MS Office and clinic management software.
