Finance & Operations Executive
Bengaluru | Full-Time | Reports to COO
About the Role
We are hiring a Finance & Operations Executive to work directly with the COO and founding team in managing financial operations, sales operations support, compliance coordination, and general business execution.
This is a hands-on execution role in a fast-growing startup environment. You will be at the core of day-to-day financial and operational functioning of the company.
Key Responsibilities
1 Finance & Accounting Operations
Collect and consolidate invoices (weekly / bi-weekly / monthly)
Coordinate with all internal teams for timely submission of expense documents
Organize and prepare documentation for CA and CS teams
Assist in GST, TDS, statutory filings, and compliance-related documentation
Maintain structured financial records
2 Expense Tracking & Reporting
Maintain a live daily-updated expense tracker
Categorize expenses (Marketing, Sales, Payroll, Operations, Infra, etc.)
Prepare monthly expense summaries for management review
Identify unusual or unplanned expenses and flag proactively
3 Expense Forecasting & Cashflow Support
Track recurring and predictable costs
Build and update monthly expense forecasts
Support cash visibility and working capital planning
Assist in preparing financial reports as requested by leadership
4 Sales Operations & Receivables
Issue Proforma Invoices, Tax Invoices, and coordinate Purchase Orders
Work with customer finance teams to ensure timely payments
Track due and overdue receivables
Follow up on outstanding invoices and maintain clean billing records
5 HR Operations Support
Extract leave data monthly from Zoho People
Coordinate payroll inputs with CA
Track reimbursements and employee records
Maintain structured leave and reimbursement logs
6 Tools & Systems Execution
Hands-on working knowledge of:
Zoho Books
Zoho Expense
Zoho Analytics
Zoho People
Zoho CRM
Zoho Sign
MS Excel / Google Sheets
Government and banking portals
Ability to create structured reports and dashboards is essential.
7 General Operations & Administrative Support
Support procurement and vendor coordination
Assist teams with operational requirements
Help streamline internal processes
Take ownership of getting operational tasks completed efficiently
8 Management Reporting
Prepare custom reports as required by leadership
Support decision-making with clean, structured data
Maintain transparency and accuracy in operational reporting
Qualifications & Experience
35 years of experience in Finance Operations / Accounts / Business Operations
Strong understanding of Indian accounting ecosystem
Comfortable coordinating with CA / CS / auditors
Strong Excel and data management skills
Experience with Zoho One Suite tools preferred
High attention to detail and process orientation
