Role:Facility Manager
Reporting to:Head Facility Operations
Location:Gurgaon, Haryana
Role Overview: The Facility manager oversees end-to-end building operations, ensuring smooth functioning of maintenance, security, housekeeping, compliance, and client services. The role manages vendor performance, regulatory approvals, tenant coordination, and cost optimization to maintain high service standards and operational efficiency at the site.
Key Deliverables
Facility Operations & Maintenance
- Ensure seamless day-to-day functioning of facility operations across housekeeping, security, horticulture, parking, and technical services (DG sets, STP, HVAC, lifts, fire safety).
- Lead preventive and corrective maintenance through AMC management, warranty tracking, and coordination with vendors for timely repairs and upkeep.
- Implement energy-saving initiatives (e.g., lighting timers) and manage infrastructure-related assets, ensuring high availability and minimal downtime.
Compliance, Safety & Government Liaison
- Monitor and ensure compliance with statutory and regulatory norms (fire NOC, DG licenses, lift safety certifications, environmental standards).
- Conduct regular fire and life safety mock drills in coordination with SMEs and oversee all building safety systems.
- Liaise proactively with municipal bodies and regulatory agencies to manage licensing, inspections, and escalations.
Client & Tenant Experience Management
- Serve as the primary point of contact for client service issues and facility-related concerns post-handover.
- Manage tenant onboarding and exit, including space readiness, minor civil/electrical modifications, renovation oversight, and utility handovers.
- Coordinate with the CRM and leasing teams to manage lease-related clauses (e.g., parking, chiller loads, electrical allocation, facade usage).
Vendor & Cost Management
- Lead service delivery through SLA/KPI tracking for key vendors (security, facade cleaning, technical services, etc.).
- Review vendor contracts, create proposals for cost optimization, and seek approvals for large purchases or repairs.
- Oversee facility-related payments (electricity, water, municipal) and support revenue collection processes by coordinating with finance and client accounts teams.
Asset, Inventory & Administrative Management
- Manage inventory control systems for consumables and stationery across sites, ensuring accurate tracking and timely replenishment.
- Maintain records of all AMC contracts, warranties, and DLPs (Defect Liability Periods) and ensure documentation is audit-ready.
- Coordinate and support internal/external events, including space management, client approvals, and logistics
Team & Stakeholder Management
- Lead a multidisciplinary facility team (housekeeping, maintenance, horticulture, fire & safety) with a focus on quality, training, and productivity.
- Conduct regular staff performance reviews and skill development sessions to enhance service delivery.
- Prepare and submit periodic reports on facility performance, complaint resolution, maintenance activities, and cost utilization to senior management.
Key Skills and Experience
- Diploma or Bachelor's in electrical or mechanical engineering with 610 years of experience in handlingfacility management.
- Strong understanding of building systems (HVAC, electrical, fire safety, plumbing, lifts)
- Basic understanding of compliance standards (fire safety, electrical safety, etc.)
- Vendor coordination and service quality evaluation
- Familiarity with facility management software/tools and MS Excel for reporting
- Good communication, interpersonal, Team Handling and problem-solving skills
- Proficiency in MS Office, site measurement tools, and basic documentation practices will be proffered.
