Facilities Executive Cafe

Integrated Facilities Management Corporate Solutions (region/country)

What this job involves:

Providing onsite support

You will be the upper facilities management's trusted right hand on all facilities-Caf & pantry related activities like managing end-to-end food services, pantry operations, event management, vendor governance, financial control, HSEQ compliance, and continuous improvement initiatives to ensure high-quality service delivery, cost efficiency, closure of user complaints, assist in controlling the expenses & provide cost effective solutions, provide with all sorts of Daily/Weekly/Monthly reports and ensuring timely submission of vendor invoices and excellent workplace experience.

In this role, you'll be responsible for working closely with clients and suppliers onsite to identify their facility-related enquiries and requirements. Your planning and budgeting skills will also be vital to the job.

Event Management & Execution

  • Manage and close all event requests through the ticketing system.
  • Coordinate with admins on menu planning, costing, and venue finalization.
  • Ensure end-to-end execution of events including setup, service delivery, feedback, and closure.
  • Identify and develop new event spaces to enhance employee engagement.

Caf Operations Management

  • Monitor breakfast, lunch, and dinner services as per SLA.
  • Review weekly menus, special lunches, and theme menus.
  • Ensure food availability, service quality, and vendor adherence to SLA.
  • Monitor kitchen equipment maintenance, food dispatch, and wastage control.

Pantry Operations & Inventory Control

  • Manage pantry indents, replenishments, consumption, and costing.
  • Ensure FIFO, SKU checks, shelf-life tracking, and storage temperature compliance.
  • Maintain GRN, minmax stock levels, and non-moving item reports.
  • Ensure accurate maintenance of pantry and store records.

Vendor Performance & SLA Governance

  • Monitor vendor service timing, food pickup schedules, and product availability.
  • Escalate SLA deviations and variances to management.
  • Conduct skip-level and one-on-one interactions with vendor teams.
  • Financial Control & Budget Management
  • Track Opex budget forecast vs actuals with variance below 5%.
  • Ensure timely and accurate billing, invoicing, and PI submissions.
  • Handle menu costing, event billing, special lunch costing, and new equipment purchases.
  • Drive cost-saving initiatives across operations.

HSEQ & Food Safety Compliance

  • Ensure compliance with HSEQ policies, SOPs, and food safety standards.
  • Maintain working knowledge of HACCP, FSMS, CCPs, and OPRPs.
  • Support audits, closure of NCs, and escalation adherence.
  • Promote reporting of unsafe acts, unethical behavior, and near misses.

Innovation & Continuous Improvement

  • Implement at least one innovation and one new initiative annually.
  • Drive service improvement through brainstorming and CIWG participation.
  • Support diversity and inclusion initiatives within teams.

Customer Engagement & Experience

  • Interact with customers for feedback and service improvement.
  • Coordinate with departments to ensure timely meal arrangements.
  • Plan and execute festival dcor and engagement initiatives.

Systems & Digital Enablement

  • Manage AppSpace caf menu screen software for menus, themes, signage, and event promotion

At the same time, this role puts you on the first line of defence against risks. As such, you will help implement and manage risk management programs, disaster recovery and business continuity plans. You'll also be expected to follow escalation and incident reporting procedures and comply with the firm's guidelines and strategies.
