Job Description

  • Oversee office premises & ensure that company infrastructure is maintained well & in good condition at all times.
  • Optimize the use of space and equipment while reducing operating costs
  • Supervise daily support operations and plan efficient administrative procedures
  • Make strategies for efficient & effective facilities management for Maruti s head office
  • Supervise canteen facility ensuring that hygienic & timely meals are served to employees
  • Ensure effective use of office parking space
  • Arrangement of office space allocation to employees
  • Assess admin staff performance and provide coaching and guidance to ensure maximum efficiency
  • Monitor inventory of office supplies and the purchase of new material is done adhering to budgetary constraints
  • Monitor costs and expenses to assist in budget preparation
  • Monitor maintenance activities and performance of tradespersons like electricians, guards, etc.
  • Facilitate in organizing and supervising other office activities like renovations, event planning etc.
  • Ensure all business operations adhere to policies and regulation.
  • Keep abreast with all organizational changes and business developments
  • Principle Accountability-
  • General administration:
  • Housekeeping and sanitation supervision.
  • Ensuring smooth Business operation Management
  • Parking & Visitor Management.
  • Ensuring effective utilization and upkeep/maintenance of facility.
  • Management and coordination at various MSIL locations and single Point of Contact for administrative operations to include white- and blue-collar deviations.
  • Fire Safety & Building Security:
  • Maintenance of fire safety, hydrant and other equipment
  • Periodical safety training and mock drills
  • Horticulture:
  • Maintaining Green area
  • Planting trees inside and outside the premises along with maintenance of existing Flora.
  • Civil maintenance:
  • Building repair & Management
  • Development and upgradation of underutilized space.

  • Statutory compliance:
  • Ensuring regulatory compliance under Environment, Fire laws and other applicable laws.
  • Regular interaction with Govt. Bodies
  • Preparation of Annual Maintenance Contracts (AMC) and Service Contracts to include Vendor negotiation along with Control and review of monthly MIS of Admin dept.
  • Prepare Capital and Revenue Budgets for all expenditure related to the Department. Contract renewal of all sections
  • Canteen Management:
  • Ensuring food (lunch and snacks) of around 850 employees every day.
  • Management/control of transport, uniform, telephone, courier, canteen systems and development of optimum infrastructural standards
  • MAJOR CHALLENGES
  • Identify areas of improvement in facilities management of Maruti head office
  • Collaborate with multiple departments & address day to day issues
  • Ensure utmost hygiene & cleanliness is maintained in office at all times
  • Effective communication with all stakeholders
  • INTERACTIONS
  • Internal-Internal stakeholders
  • External-Guards, Canteen Staff, external guests & visitors
  • Educational Qualifications
  • Any Graduation; higher qualification in facility management preferred with proven experience in Admin role.
  • Linguistic Skills:Fluency in speaking and writing in English and Hindi compulsorily required.
  • Computer and New Technology Equipment. Proficient in use of computers (especially Excel, Word and Power point) and have handled new administrative processes/ procedures).
  • Work Experience
  • Total experience of 11-17 years including admin role. Preferred 3-4 years experience in large-reputed manufacturing set up with Unionized environment (mandatory).
  • Skills & Competencies required
  • Adept in logical thinking and writing skills.
  • Compilation and preparation of compliance reports and registration under Shops and Establishments Act.
  • Intelligence gathering, collation and dissemination skills. Preparation of analysis and recommendation reports.
  • Excellent collaboration/coordination and liaisoning with external stakeholders and Govt. authorities.
