Job Summary

We are seeking a highly organized, proactive, and welcoming personality Executive Secretary to provide high-level administrative support to our Board of Directors. The ideal candidate will act as the primary point of contact for internal and external constituencies on all matters pertaining to the Directors. As the face of the executive office, you must possess impeccable English communication skills and a professional yet warm demeanour.

Key Roles & Responsibilities

  • Calendar Management: Coordinate complex scheduling and calendar management for Directors, ensuring a smooth flow of daily appointments.
  • Communication Bridge: Serve as a gatekeeper, managing phone calls, emails, and correspondence with high proficiency in English.
  • Meeting Coordination: Organize board meetings and executive sessions; prepare agendas, take minutes of meetings (MoM), and ensure follow-up on action items.
  • Travel & Logistics: Handle end-to-end travel arrangements (domestic and international), including flights, visas, and accommodation.
  • Documentation: Draft professional letters, reports, and presentations; maintain a highly organized digital and physical filing system.
  • Guest Relations: Greet visitors and high-level stakeholders with a cheerful and welcoming attitude, ensuring a positive first impression of the office.
  • Expense Management: Track and process executive expenses and reimbursements accurately.

Skills & Attributes

  • Proficiency in Clerical Skills including document management, filing, and maintaining organizational records.
  • Prior experience as an Executive Secretary or Administrative Assistant is preferred
  • Strong Communication and Customer Service skills to ensure effective collaboration and support internal and external stakeholders
  • Experience in Company Secretarial Work and Executive Administrative Assistance
  • Organizational skills, attention to detail, and ability to multitask efficiently
  • Proficiency in office software such as Microsoft Office Suite and scheduling tools
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information
  • Bachelor's degree in Business Administration, Management, or a related field.

Employment Terms

Employment Type: Permanent (Full-time)

Timing: 10 am to 7.00 pm

Working Days: Monday to Saturday

Location: Modinagar, Ghaziabad, 201204

CTC Range: 3.5LPA 5LPA (Negotiable basis experience and fit)
