Executive Secretary

Job Location:

Hebbal, Bangalore

Job Purpose:

Seamless management of plans, events, follow-ups and meetings for senior level heads.

Job Responsibility:

1) Calendar Management of Functional Head:

Meetings, VC's, Calls, Travel Plans, External Meetings, Internal Meetings and Team Reviews.

2) Email Management:

Screening of all incoming mailers, segregation and schedulers for meeting requests.

3) Claims:

Assist with all the claims related to expense incurred.

4) Coordination of HR related all Activities:

Be the point of contact between the HR and the functional heads.

5) Preparation of Summaries of Meetings, Actionable and Delegations.

Qualification & Skills:

  1. Any Graduation
  2. Computer Proficient / Technology Proficient / Digital Proficiency
  3. Proficient in Microsoft Excel
  4. Planning and Organizing Skills
  5. Good Communication
  6. Experience in drafting Minutes of Meetings
  7. Discretion - Maintain Confidentiality, Integrity, Trustworthiness and follow Compliance

Experience Required:

  1. Minimum 10+ years in similar role.
  2. Managing Senior Management.
  3. Exposure to Secretarial Practices and Functions / Duties.

Major Stakeholders:

  1. Intra team and Cross Functional Stakeholders, who would need to be interacted with for discharging duties.
  2. Internal heads of Functions and Cross Functions, Team Members.
