Position Overview
An Accounts Payable (AP) Executive is responsible for managing the company's outgoing payments and ensuring vendors, suppliers, and service providers are paid accurately and on time. This role supports the finance department by maintaining strong financial controls, verifying invoices, reconciling accounts, and ensuring compliance with internal policies and regulatory standards.
Accounts Payable – Finance Executive
Key Responsibilities
- Invoice Processing
- Review and process vendor invoices accurately and on time
- Verify invoices against approvals, purchase orders, and supporting documents
- Vendor Payments
- Prepare payment schedules and ensure timely vendor payments
- Coordinate with vendors regarding invoice and payment-related queries
- Vendor Reconciliation
- Reconcile vendor statements and resolve payment discrepancies
- Follow up on pending invoices, credits, and adjustments
- Employee Expense Reimbursements
- Review and process employee reimbursement claims as per company policy
- Verify receipts, approvals, and supporting documents for reimbursements
- Handle travel, business, onboarding, and other approved reimbursements
- Corporate/Credit Card Expense Management
- Review and reconcile corporate credit card transactions
- Verify receipts and supporting documents for card expenses
- Follow up on missing receipts and policy exceptions
- Expense Policy Compliance
- Ensure expenses comply with company policies and approval workflows
- Identify unusual or non-compliant expenses for review
- GL Coding & Cost Allocation
- Ensure proper expense categorization and GL mapping
- Allocate expenses to the correct department, entity, or cost center
- Month-End Closing Support
- Support reconciliations, accruals, and expense-related reporting
- Audit & Documentation
- Maintain proper financial records and supporting documents for audit purposes
