Job Description

Executive Assistant to Leadership Team (C-Suite)

Location: Pune

Experience: 5–10 Years

Employment Type: Full-Time | On-Roll

Work Mode: Work from Office

About the Role

We are looking for a highly polished, proactive, and detail-oriented Executive Assistant to provide strategic and administrative support to the Leadership Team.

The ideal candidate should possess exceptional organizational skills, executive presence, confidentiality, and the ability to manage multiple high-priority responsibilities in a fast-paced corporate environment.

Key Responsibilities

Complex Calendar Management

  • Manage dynamic executive calendars and high-volume meetings
  • Coordinate schedules across multiple global time zones
  • Ensure seamless meeting planning and prioritization

Travel Management

  • Handle end-to-end domestic and international travel arrangements
  • Coordinate flights, hotel bookings, ground transportation, and detailed itineraries

Expense Management & Reimbursements

  • Prepare, submit, and track executive travel expense reports accurately
  • Coordinate reimbursement processes efficiently

Visa Processing

  • Manage documentation and visa coordination for domestic and international travel

Presentation & Report Preparation

  • Create high-quality PowerPoint presentations, reports, dashboards, and executive briefs

Minutes of Meeting (MOM)

  • Capture meeting discussions, circulate MOMs, and track action items

Executive Communication

  • Draft professional correspondence and coordinate with internal and external stakeholders

Confidentiality & Stakeholder Coordination

  • Handle sensitive information with utmost discretion and professionalism
  • Coordinate effectively across departments and with external partners

Key Requirements

  • 5–10 years of experience supporting Senior Leadership / C-Suite executives
  • Strong expertise in complex calendar management and global travel coordination
  • Hands-on experience in travel expense submission and reimbursement processes
  • Proficiency in MS Office Suite (PowerPoint, Excel, Outlook, Word)
  • Excellent communication, presentation, and interpersonal skills
  • Strong follow-up, prioritization, and multitasking abilities
  • High attention to detail with a professional and polished demeanor
  • Ability to work independently in a structured office environment

Qualifications

  • Graduate in any discipline
  • Post-graduation preferred
