Job Summary

We are seeking a highly organized, proactive, and trustworthy Assistant to Director to provide comprehensive administrative, operational, and strategic support to the Director. This role is critical in ensuring smooth day-to-day functioning, effective communication, and timely execution of business priorities. The ideal candidate will act as a key liaison between the Director and internal teams, clients, vendors, and external stakeholders.

The Assistant to Director must demonstrate strong organizational skills, discretion, multitasking ability, and a clear understanding of business operations. This position requires a professional who can anticipate needs, manage sensitive information, and support decision-making at a leadership level.

Job Description

We are seeking a highly organized and proactive Executive Assistant to Director to provide administrative, operational, and coordination support to the Director. This role requires strong communication skills, confidentiality, multitasking ability, and coordination across design, site, accounts, and purchase teams. The ideal candidate should be comfortable working in a fast-paced, project-driven interior design environment and handling tasks through company CRM and internal systems.

Key Responsibilities

  • Manage the Director's daily schedule, meetings, and appointments
  • Act as a point of contact between the Director and internal/external stakeholders
  • Prepare reports, presentations, MOMs, and documentation as required
  • Coordinate with design, site, accounts, and purchase teams for follow-ups
  • Track project updates, approvals, and deadlines through CRM or internal systems
  • Handle confidential information with professionalism and discretion
  • Assist in vendor, client, and internal communications on behalf of the Director
  • Maintain proper records, files, and documentation
  • Support in decision follow-ups and task execution
  • Assist with travel planning, meeting arrangements, and official correspondence

Requirements

  • Bachelor's degree in Business Administration or relevant field
  • 25 years of experience as Executive Assistant / Personal Assistant
  • Experience in interior design, construction, or real estate industry preferred
  • Strong communication and coordination skills
  • Proficiency in MS Excel, Word, PowerPoint, and email communication
  • Comfortable working with CRM-based systems
  • Excellent time management and multitasking abilities
  • Professional attitude with attention to detail
