MIT ADT University is seeking a dynamic, highly confident, and exceptionally organized Executive Assistant to provide comprehensive, high-level administrative support to the Vice-Chancellor (VC). The ideal candidate will be the primary point of contact for internal and external stakeholders, responsible for managing the daily operations of the VC's office, ensuring professional decorum is always maintained, and facilitating the efficient execution of the VC's priorities.
About the Role
The Executive Assistant will provide comprehensive administrative support to the Vice-Chancellor, managing the office's daily operations and ensuring a professional atmosphere.
Responsibilities
1. Office Management & Decorum:
- Maintain the overall decorum, confidentiality, and professional atmosphere of the Vice-Chancellor's office.
- Manage the VC's complex calendar, including scheduling meetings, appointments, and travel arrangements.
- Screen and prioritize incoming correspondence, phone calls, and visitors.
2. Stakeholder & Visitor Management:
- Serve as the courteous and professional liaison between the VC and esteemed members, dignitaries, faculty, staff, students, and external partners.
- Cater to the requests and needs of guests meeting the VC, ensuring a smooth and respectful experience.
- Handle sensitive information and confidential matters with the utmost discretion and professionalism.
3. Communication & Documentation:
- Demonstrate a strong command of both English and Marathi languages for effective written and verbal communication.
- Draft, review, and finalize professional documentation, including but not limited to Memos, Official Notices, Appointment Letters, Circulars, and email correspondence.
- Prepare presentations, reports, and briefing materials for the VC.
4. Task Coordination & Follow-up:
- Assist the VC in coordinating and tracking tasks assigned to various departments and personnel.
- Establish and maintain an efficient follow-up system to ensure deadlines are met and initiatives are progressing as per the VC's directives.
- Organize and maintain a systematic filing and database system for the VC's office.
Qualifications
- Education: A Bachelor's degree in any discipline is required; a Master's degree or a Diploma/Certificate in Secretarial Practice or Office Management is a plus.
- Experience: Proven experience (minimum 3-5 years) as an Executive Assistant, Personal Assistant, or similar high-level support role, preferably within an academic institution or corporate environment.
Required Skills
- Communication Skills: Exceptional verbal and written communication skills in English and Marathi is mandatory.
- Attributes: Must be dynamic, proactive, confident, possess strong interpersonal skills, and have a polished, professional demeanor.
- Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard office equipment.
- Organizational Skills: Superior organizational, time management, and multitasking abilities with a keen attention to detail.
- Knowledge: Clear understanding of formal administrative and academic documentation processes, including the drafting of official correspondence like Memos and Notices.
