Job Description

Position Summary -

We are seeking a highly proactive, organized, and dedicated Executive Assistant to provide

comprehensive administrative and strategic support to our Managing Director (MD) and

Chairman. The ideal candidate will have a strong corporate background and the ability to

manage complex schedules, foster critical relationships, and handle sensitive information with

the utmost discretion and professionalism.

Key Responsibilities

● Calendar & Schedule Management: Proactively manage and optimize the MD &

Chairman's complex calendar, ensuring time is prioritized efficiently. Handle scheduling

conflicts with tact and diplomacy.

● Travel Arrangements: Plan, coordinate, and manage intricate domestic and

international travel itineraries, including flights, accommodations, ground transportation,

and visa processing.

● Meeting & Timeline Coordination: Organize executive, board, and client meetings.

Prepare agendas, draft briefing materials, record minutes, and track timelines and

deliverables for key action items.

● Communication & Correspondence: Act as the primary gatekeeper and point of

contact. Draft, review, and manage email correspondence, internal memos, and formal

communications on behalf of the MD & Chairman.

● Stakeholder Liaison: Serve as a highly professional liaison bridging the gap between

the MD & Chairman and internal departments, external business associates, key

stakeholders, and VIP clients.

● Social & Networking Management: Assist in coordinating and managing the

executive's social circles, high-profile networking events, and philanthropic engagements, ensuring a polished public and professional image.

● General Coordination: Ensure the smooth day-to-day administrative operations of the

executive office, anticipating needs and resolving issues before they escalate.

Qualifications & Experience

● Experience: Minimum 5 to 6 years of proven experience working as an Executive

Assistant, Personal Assistant, or similar profile supporting C-level executives (MD,

Chairman, or CEO level).

● Background: Mandatory experience working within a structured corporate organization.

● Education: A Bachelor's degree in Business Administration, Communications, or a

related field is preferred.

Skills & Competencies

● Exceptional verbal and written communication skills.

● Impeccable organizational and time-management abilities with a knack for multitasking.

● High level of emotional intelligence, professionalism, and the ability to maintain strict

confidentiality.

● Proficiency in office management software (e.g., MS Office Suite, Google Workspace)

and calendar management tools.
