Job Description

We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive administrative and project coordination support to the Chairman of our infrastructure

development company. This role is critical in supporting the leadership of a major government

infrastructure project and requires exceptional organisational skills, technical proficiency, and

the ability to work effectively with diverse stakeholders.

Key Responsibilities

Administrative Excellence

  • Provide high-level executive support to the Chairman, including calendar management,
  • meeting coordination, and correspondence
  • Prepare executive briefings, reports, and presentations for board meetings and
  • stakeholder communications
  • Manage confidential information with the highest level of discretion and professionalism

Project Management & Coordination

  • Utilise MS Project and other project management software to track project milestones,
  • deliverables, and critical path activities
  • Monitor and report on project progress across multiple departments and workstreams
  • Coordinate and facilitate communication between Heads of Departments (HoDs) and external consultants
  • Maintain project documentation and ensure all stakeholders have access to the current project information

Stakeholder Management

  • Serve as primary liaison between the Chairman and approximately 12 external consultants
  • Coordinate meetings, communications, and deliverables with consulting teams
  • Facilitate cross-departmental collaboration and information sharing
  • Manage relationships with government officials and regulatory bodies as required

Financial Oversight & Reporting

  • Monitor project budgets, revenue streams, and expense tracking
  • Prepare financial summaries and variance reports for executive review
  • Assist in budget planning and resource allocation decisions
  • Track consultant invoicing and payment schedules

Critical Path Management

  • Evaluate and monitor critical path activities to identify potential delays or risks
  • Coordinate with project teams to ensure timeline adherence
  • Escalate critical issues to the Chairman with recommended solutions
  • Maintain comprehensive project schedules and milestone tracking

Required Qualifications

Technical Skills

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Expert-level knowledge of MS Project or equivalent project management software
  • Strong analytical skills with the ability to interpret financial data and project metrics
  • Experience with reporting and monitoring systems

Professional Experience

  • Minimum 5-7 years of executive assistant experience, preferably in infrastructure,
  • construction, or government contracting
  • Demonstrated experience managing large-scale projects with multiple stakeholders
  • Proven track record of working with senior executives and external consultants
  • Experience in government project environments strongly preferred
