Role Description

This is a full-time, on-site role based in Mumbai for an Executive Assistant to the Managing Director. The Executive Assistant will handle a variety of administrative and executive sales support duties, such as managing schedules, organizing meetings, coordinating travel arrangements, and maintaining professional communication on behalf of the Managing Director. The role requires exceptional organizational + sales skills, the ability to manage multiple priorities, and a proactive problem-solving approach.

Key Responsiblities

  1. Provide sales CRM support and assist business development.
  2. Source and verify contact credentials of customer/buyer targets identified with MD.
  3. Track action items across imports, shipments, and product dispatch; ensure timely follow-ups.
  4. Handle confidential information and support sensitive decision workflows.
  5. Execute company registrations across vendor and procurement portals.
  6. Align internal tasks and documentation with the accounts team.
  7. Support strategy meetings through preparation, coordination, and follow-up.
  8. Assist communication with suppliers and customers (international & domestic).
  9. Coordinate marketing collateral and timelines with graphics/web personnel for digital promotion on social media platforms + direct mailer marketing.
  10. Support proposals, quotations, and contract documentation.
  11. Maintain updated customer, supplier, and partner databases.
  12. Travel for trade shows, customer interactions, and market exploration when required.
  13. Tender Tracking and Execution on GeM portal + Eprocurement govt sites.
