Role Overview
We are looking for a highly organized and proactive Executive Assistant to support the founder in managing internal coordination, communication, and day-to-day operational priorities.
The role goes beyond traditional calendar management and involves working closely with consultants and leadership to track key deliverables, coordinate across teams, and ensure smooth internal and client-facing communication.
The ideal candidate is detail-oriented, dependable, and comfortable handling multiple responsibilities in a fast-paced consulting environment.
Key Responsibilities
1. Executive & Administrative Support
Manage the founder's calendar, meetings, and scheduling.
Coordinate internal and external meetings with clients, partners, and team members.
Assist with email management, follow-ups, and prioritization of communication.
2. Internal Coordination & Communication
Coordinate with consultants to track deliverables and timelines across client engagements.
Follow up on pending tasks and ensure action items are completed on time.
Help streamline communication between the founder and the consulting team.
3. Client Engagement Support
Assist in scheduling and coordinating client meetings and calls.
Help prepare documents, notes, and follow-ups for client discussions or internal meetings.
Maintain trackers for client projects, deliverables, and status updates.
4. Process & Operations Support
Maintain and update internal trackers related to clients, projects, and key deliverables.
Help organize internal documentation, templates, and process-related materials.
Support the founder in improving operational workflows and coordination across projects.
5. Logistics & Administrative Management
Assist with administrative tasks such as travel planning, document organization, and stakeholder coordination.
Support logistics for internal meetings, training sessions, and consulting engagements.
Qualifications & Skills
Education: Bachelor's degree in Business Administration, Management, or related field preferred.
Experience: 25 years of experience in an Executive Assistant, Operations, Coordination, or Administrative role.
Organizational Skills: Strong ability to manage multiple tasks, priorities, and deadlines.
Communication Skills: Clear written and verbal communication with strong attention to detail.
Coordination & Follow-through: Ability to track tasks, follow up proactively, and ensure smooth execution.
Technology Proficiency: Comfortable using Google Workspace (Docs, Sheets, Calendar) and other productivity tools.
