Location: Worli, Mumbai
Purpose
We are looking for a highly efficient and professional Executive Assistant to support the Director in managing business priorities, communication, and daily operations. This role requires someone who can act as a strategic partner, ensuring smooth coordination, confidentiality, and effective time management for the Director.
Key Responsibilities
- Manage and optimize the Director's calendar, meetings, and appointments
- Act as the first point of contact for internal and external stakeholders
- Coordinate high-level meetings, prepare agendas, and record Minutes of Meeting (MOMs)
- Handle email correspondence, draft responses, and prioritize communications
- Arrange domestic and international travel, including detailed itineraries
- Prepare presentations, reports, and business documents for meetings
- Track key deliverables, deadlines, and follow-ups across teams
- Liaise with senior management, clients, and external partners
- Maintain strict confidentiality of sensitive business and personal information
- Support the Director in decision-making by organizing data and information
- Assist with ad-hoc tasks, including personal coordination when required
What We're Looking For
- 410 years of experience as an Executive Assistant supporting senior leadership / Director level
- Strong organizational, planning, and multitasking skills
- Excellent communication and interpersonal abilities
- High level of discretion, integrity, and professionalism
- Proficiency in MS Office (especially PowerPoint & Excel)
- Ability to work under pressure and manage changing priorities
- Strong follow-up and coordination skills across stakeholders
- Detail-oriented with a problem-solving mindset
