Job Title: Executive Assistant for founder's office

Job Summary:

The Executive Assistant to the Founders is responsible for providing high-level administrative and organizational support to the Founders. This role requires exceptional organizational, communication, and problem-solving skills, as well as the ability to handle sensitive and confidential information.

Key Responsibilities:

Calendar Management:

1. Manage the Founders complex schedule, including appointments, meetings, and travel arrangements.
2. Prioritize and coordinate the founder's time to ensure maximum efficiency.

Travel Arrangements:

1. Arrange and coordinate domestic and international travel, including flights, hotels, transportation, and itineraries.
2. Prepare travel expense reports.

Communication:

1. Screen and manage incoming calls, emails, and correspondence for the Founders.
2. Draft, edit, and proofread documents, letters, and reports on behalf of the Founders.

Administrative Support:

1. Handle administrative tasks such as filing, record-keeping, and document management.
2. Manage and track expense reports and reimbursements.

Confidentiality:

1. Maintain the highest level of confidentiality and trustworthiness.
2. Handle sensitive and confidential information with discretion and professionalism.

Project Management & Assistance:

1. Assist with special projects, research, and data analysis as required by the Founders.
2. Help manage and track key initiatives and projects.

Stakeholder Liaison:

1. Serve as a point of contact between the Founders and internal and external stakeholders.
2. Build and maintain relationships with key partners, clients, and board members.

Meeting and Event Coordination:

1. Schedule, coordinate, and prepare materials for executive meetings and events.
2. Attend meetings, take minutes, and follow up on action items.

Qualifications:

• Bachelor's degree or equivalent experience.
• Proven experience as an executive assistant or in a similar role, supporting high-level executives.
• Excellent communication and interpersonal skills.
• Exceptional organizational and time management skills.
• Proficiency in office software and tools (e.g., Microsoft Office Suite). Ability to work under pressure and meet tight deadlines.
• Discretion and the ability to handle sensitive and confidential information with the utmost professionalism.
