We are looking for a highly organized, proactive, and trustworthy Executive Assistant to the CEO who will work closely with the Founder & Director to manage schedules, communications, coordination, and strategic priorities.
This role goes beyond traditional administrative support. The Executive Assistant will act as a right hand to the CEO, ensuring smooth execution of daily operations, effective time management, and coordination across teams and stakeholders.
The ideal candidate must be detail-oriented, highly dependable, and capable of handling confidential information with professionalism.
Key Responsibilities
1. Executive Calendar & Schedule Management
- Manage and optimize the CEO's daily calendar.
- Schedule meetings, calls, and appointments with internal and external stakeholders.
- Ensure proper prioritization of meetings and commitments.
- Coordinate meeting logistics and reminders.
2. Communication & Coordination
- Act as a communication bridge between the CEO and internal teams.
- Handle professional correspondence including emails, follow-ups, and reminders.
- Coordinate with clients, partners, and vendors when required.
3. Meeting Preparation & Documentation
- Prepare agendas for meetings.
- Record and circulate Minutes of Meetings (MOMs).
- Track action items and ensure follow-ups are completed.
4. Travel & Logistics Management
- Arrange travel bookings including flights, hotels, and local transportation.
- Plan cost-effective travel and accommodation.
- Ensure all logistics are organized in advance.
5. Operational & Administrative Support
- Maintain important documents, records, and reports.
- Ensure documents are properly organized and updated.
- Support coordination of internal processes and office activities.
6. HR & Office Coordination
- Assist in HR-related administrative tasks when required.
- Coordinate employee documentation and records.
- Support in maintaining office discipline and operational hygiene.
7. Budget Awareness & Expense Tracking
- Ensure expenses related to travel, operations, or events stay within allocated budgets.
- Maintain records of relevant expenses.
8. Special Projects
- Assist the CEO with special initiatives, presentations, events, and strategic tasks.
- Coordinate cross-team projects when required.

Experience
- 25 years of experience as an Executive Assistant / Personal Assistant / Operations Coordinator
- Experience supporting senior leadership is preferred.
