Job Summary
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and executive support to our Chief Executive Officer (CEO). The ideal candidate will be a professional who thrives in a fast-paced environment, possesses exceptional communication skills, and can manage multiple priorities with a high degree of accuracy and confidentiality. This role requires a strategic thinker who can anticipate needs, solve problems independently, and ensure the CEO's time is managed effectively to maximize productivity.
Key Responsibilities
- Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements (domestic and international).
- Act as the primary point of contact for internal and external stakeholders on behalf of the CEO, screening and prioritizing communications.
- Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and professional presentation.
- Coordinate and organize executive-level meetings, including preparing agendas, distributing materials, taking minutes, and following up on action items.
- Handle confidential information with the utmost discretion and integrity.
- Conduct research, compile data, and prepare reports or summaries as requested by the CEO.
- Assist with special projects and initiatives, requiring independent judgment and initiative.
- Process expense reports and manage invoices, ensuring compliance with company policies.
- Anticipate the CEO's needs and proactively bring together appropriate people and resources to support the CEO in addressing issues.
- Organize and maintain a highly efficient filing system for critical documents, both physical and digital.
- Serve as a liaison to the Board of Directors and senior management team as needed.
