Job Description

Key Responsibilities:

Executive Support:

  • Manage the CEO's calendar, appointments, meetings, and travel arrangements with precision.
  • Handle confidential documents and sensitive information with discretion and integrity.
  • Prepare, review, and format reports, presentations, and correspondence for internal and external communication.

Strategic & Project Support:

  • Assist in tracking key business metrics, strategic projects, and departmental updates.
  • Coordinate with leadership teams and stakeholders to ensure alignment on priorities and deliverables.
  • Support the CEO in planning board meetings, investor decks, and high-stakes engagements.

Stakeholder & Communication Management:

  • Act as the primary point of contact for internal and external stakeholders seeking access to the CEO.
  • Liaise effectively with department heads, board members, partners, and clients.
  • Draft emails, memos, and briefing notes; manage and prioritize communication flow.

Meeting Coordination & Follow-up:

  • Organize and facilitate executive meetings, including agendas, minutes, and action tracking.
  • Follow up on tasks and commitments to ensure deadlines are met.

Administrative Excellence:

  • Organize documentation, maintain filing systems (digital and physical), and ensure office efficiency.
  • Manage expenses, reimbursements, and any required procurement on behalf of the CEO.

Qualifications & Experience:

  • Bachelor's degree in Business Administration, Management, or related field (MBA is a plus).
  • 5–10 years of experience as an Executive Assistant or in a similar role supporting C-suite executives.
  • Exceptional written and verbal communication skills.
  • High proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with tools like Notion, Slack, Zoom, Trello, or CRM platforms.
  • Strong organizational and multitasking skills with a proactive mindset.
