Job Description

Key Responsibilities:

Calendar & Schedule Management

  • Manage and optimize the CEO's daily calendar, appointments, and meetings
  • Prioritize and coordinate internal and external meetings, travel, and events
  • Prepare and distribute agendas, meeting materials, and follow-up notes

Communication & Correspondence

  • Screen and manage incoming calls, emails, and correspondence on behalf of the CEO
  • Draft, review, and send communications, presentations, and reports
  • Liaise with internal departments, board members, clients, and external partners

Travel & Logistics Coordination

  • Plan and arrange domestic and international travel, accommodations, and itineraries
  • Organize logistics for conferences, board meetings, and offsite events

Office & Project Support

  • Assist with special projects, research, and data analysis as directed by the CEO
  • Maintain confidential files, records, and documentation
  • Coordinate with other executive assistants and administrative staff for smooth operations

Relationship Management

  • Act as a trusted liaison between the CEO and key stakeholders
  • Support the CEO in stakeholder engagement, event planning, and follow-ups

Qualifications:

  • Bachelor's degree in Business Administration, Communication, or related field preferred
  • Proven experience as an Executive Assistant or Personal Assistant supporting senior executives

Experience:

  • 37 years of experience in executive support roles, preferably in corporate or fast-paced environments
  • Experience working with C-level executives and board members

Key Skills:

  • Excellent organizational and multitasking skills
  • Strong written and verbal communication abilities
  • High level of discretion, confidentiality, and professionalism
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and calendar management tools
  • Problem-solving attitude and proactive approach
  • Ability to work under pressure and meet tight deadlines
