Role Overview:
We are seeking a proactive and highly organized Executive Assistant to provide comprehensive administrative and strategic support to our CEO. This role requires exceptional multitasking abilities, strong communication skills, and the capability to thrive in a fast-paced, dynamic environment. You will act as the CEO's right-hand, ensuring that daily operations and strategic initiatives run smoothly.
Working Times - EST working hours
Key Responsibilities -
- Administrative and Email Operations: Assist with the smooth execution of daily tasks, ensuring the CEO's office runs efficiently. Follow-ups cannot be missed.
- Schedule Management: Oversee the CEO's calendar, coordinating meetings, calls, and travel to maximize productivity
- Meeting Coordination: Prepare agendas, take detailed minutes, and track action items to ensure deadlines are consistently met
- Communication Management: Draft, proofread, and edit emails, presentations, reports, and announcements to maintain a high standard of communication
- Responsiveness: Maintain a high response rate throughout the day, addressing inquiries promptly to ensure smooth operations. EST work hours.
- Travel Planning: Arrange seamless domestic and international travel, managing flights, accommodations, and transport
- Itinerary Management: Prepare detailed itineraries with all required documents (e.g., visas, meeting schedules)
- Trade Show Planning: Schedule meetings at trade shows across the US and secure sales appointments with prospective buyers
- Lead/Emails Follow-up: Follow up on leads generated from trade shows through emails and calls to convert prospects into sales
- Process Improvement: Develop workflows to streamline the CEO's tasks, ensuring efficiency and prioritization. Create workflows for emails.
- Office Tasks: Handle administrative duties such as budget tracking, filing, and processing invoices
- Performance Monitoring: Provide regular updates to the leadership team on new sales opportunities and overall performance
