Executive Assistant to Senior Management

  • Position Title: Executive Assistant
  • Reports To: Senior Management
  • Location: Noida
  • Employment Type: Contractual (1 Year)

Position Summary:

The Executive Assistant to the Senior Management will provide high-level administrative support to the person by managing schedules, coordinating meetings, handling correspondence, and ensuring the smooth functioning of daily operations. The ideal candidate will be proactive, detail-oriented, and possess exceptional organizational and communication skills to effectively manage the Manager's priorities and workflow.

Key Responsibilities:

  • Administrative Support:
  • Manage calendar, schedule appointments, and coordinate meetings, ensuring efficient time management.
  • Prepare, review, and edit correspondence, reports, presentations, and other documents as required.
  • Handle confidential and sensitive information with discretion and professionalism.

  • Meeting Coordination:
  • Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Arrange logistics for meetings, conferences, and events, including booking venues, arranging travel, and managing virtual meeting platforms.
  • Event Management for all offsite meetings and sending invites.

  • Communication Management:
  • Act as the primary point of contact between the Manager and internal/external stakeholders.
  • Screen and prioritize emails, phone calls, and other communications, responding on behalf of the Manager when appropriate.

  • Travel and Expense Management:
  • Arrange domestic and international travel, including flights, accommodations, and itineraries.
  • Prepare and process expense reports, ensuring compliance with company policies.

  • Office Management:
  • Maintain an organized filing system for documents, records, and correspondence.
  • Order office supplies and manage inventory as needed.

  • Other Duties:
  • Handle ad hoc tasks and assignments as directed by the Manager.
  • Proactively identify opportunities to improve processes and enhance efficiency.

Qualifications and Skills:

  • Education: Bachelor's degree in Business Administration, Communications, or a related field
  • Experience: Minimum of 7+ years of experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools and virtual meeting platforms (e.g., Zoom, MS Teams).
  • Communication Skills: Excellent verbal and written communication skills with a strong command of English
  • Organizational Skills: Exceptional organizational and time-management abilities, with the capacity to multitask and prioritize effectively.
  • Interpersonal Skills: Strong interpersonal skills with the ability to build relationships and work collaboratively with diverse teams.
  • Problem-Solving: Proactive and resourceful in resolving issues and anticipating the Manager's needs.
  • Confidentiality: High level of integrity and discretion in handling sensitive information.
