Executive Assistant to Senior Management

Position Summary:
The Executive Assistant to the Senior Management will provide high-level administrative support to the person by managing schedules, coordinating meetings, handling correspondence, and ensuring the smooth functioning of daily operations. The ideal candidate will be proactive, detail-oriented, and possess exceptional organizational and communication skills to effectively manage the Manager's priorities and workflow.
Key Responsibilities:
- Administrative Support:
- Manage calendar, schedule appointments, and coordinate meetings, ensuring efficient time management.
- Prepare, review, and edit correspondence, reports, presentations, and other documents as required.
- Handle confidential and sensitive information with discretion and professionalism.
- Meeting Coordination:
- Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Arrange logistics for meetings, conferences, and events, including booking venues, arranging travel, and managing virtual meeting platforms.
- Event Management for all offsite meetings and sending invites.
- Communication Management:
- Act as the primary point of contact between the Manager and internal/external stakeholders.
- Screen and prioritize emails, phone calls, and other communications, responding on behalf of the Manager when appropriate.
- Travel and Expense Management:
- Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Prepare and process expense reports, ensuring compliance with company policies.
- Office Management:
- Maintain an organized filing system for documents, records, and correspondence.
- Order office supplies and manage inventory as needed.
- Other Duties:
- Handle ad hoc tasks and assignments as directed by the Manager.
- Proactively identify opportunities to improve processes and enhance efficiency.
Qualifications and Skills:
- Education: Bachelor's degree in Business Administration, Communications, or a related field
- Experience: Minimum of 7+ years of experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools and virtual meeting platforms (e.g., Zoom, MS Teams).
- Communication Skills: Excellent verbal and written communication skills with a strong command of English
- Organizational Skills: Exceptional organizational and time-management abilities, with the capacity to multitask and prioritize effectively.
- Interpersonal Skills: Strong interpersonal skills with the ability to build relationships and work collaboratively with diverse teams.
- Problem-Solving: Proactive and resourceful in resolving issues and anticipating the Manager's needs.
- Confidentiality: High level of integrity and discretion in handling sensitive information.
