As a Senior Executive Assistant, you will play a pivotal role in an organization, providing high-level administrative support to senior executives. They manage complex calendars, arrange meetings and travel, handle correspondence, and maintain confidential files. Senior Executive Assistants often act as liaisons between executives, clients, and internal teams, ensuring smooth communication and efficient workflow. Their proactive approach to anticipating needs, problem-solving abilities, and attention to detail enables executives to focus on strategic decision-making and operational leadership, ultimately supporting the company's productivity and organizational success.

Key Responsibilities

  • Executive Support: Provide high-level administrative support to C-suite executives, including

managing schedules, prioritizing appointments, and preparing necessary materials.

  • Advanced Calendar Management: Coordinate complex and dynamic executive calendars,

handling meeting requests, and appointments, and rescheduling as needed.

  • Communication Liaison: Act as the primary point of contact for the executive, managing internal

and external communications, including emails, phone calls, and correspondence.

  • Meeting Preparation and Follow-up: Organize executive meetings by preparing agendas,

gathering documents, taking minutes, and tracking follow-up tasks.

  • Travel Coordination: Arrange detailed domestic and international travel itineraries, including

transportation, accommodations, and visa requirements.

  • Document Preparation: Create, edit, and proofread executive-level reports, presentations, and

other materials, ensuring accuracy and professionalism.

  • Expense Management: Track and manage executive expense reports, ensuring compliance with

company policies and timely submission.

  • Event Planning: Coordinate and execute executive-level events, conferences, and off-site

meetings, ensuring all logistics are handled smoothly.

  • Others: Depending on the executive that you will be supporting, you will be expected to take part

in project management or other departmental functions if the need arises.

The Senior Executive Assistant has the following additional key responsibilities:

Schedule

As a Senior Executive Assistant, you will support 1 to 2 C-Suite Leaders. Your work schedule will vary

based on the executives schedules and locations. Flexibility is key, as the CXO's needs may shift due to

time zone differences or unexpected changes in their availability. You will need to adapt to dynamic work

hours, ensuring seamless coordination and support.

Travel

While this is primarily a remote position, occasional travel may be required. You may need to come to the

local office when one or more of the C-Suite Leaders are onsite, or travel to select destinations based on

business needs. Travel will generally be limited and planned, but flexibility is necessary to accommodate

any urgent situations.

Position Type

This is a 100% remote position, allowing you to work from home full-time. However, travel will

occasionally be required, typically to the local office or other designated locations when C-Suite Leaders

(CXOs) are onsite or attending key meetings or events.

Required Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field
  • 7+ years of experience in an Executive Assistant or Senior Administrative role supporting C-level

executives, ideally in a corporate environment.

  • Excellent verbal and written communication skills, with the ability to interact professionally with

C-Suite executives.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google

Suite and software tools.

  • Keen attention to detail and accuracy in all tasks, including scheduling, document preparation,

and correspondence.

  • Ability to work effectively both independently and as part of a team, collaborating with colleagues

across departments.

  • Has the ability to think critically and is willing to support and take part on departmental projects

when needed.

Preferred Qualifications

  • Familiarity with the BPO industry or similar corporate environments.
  • Experience with Google Suite & Salesforce preferred
  • Excellent time management skills, with the ability to prioritize tasks and meet deadlines in a

fast-paced environment.

  • Strong problem-solving abilities and the capability to anticipate needs and proactively resolve

issues.

Education / Certifications

  • Bachelor's degree in Business Administration, Communications, or a related field
  • Participation in relevant professional development courses or certifications (e.g., Certified

Administrative Professional (CAP).

Work Location / Work Schedule / Travel:

  • Amenable to Onsite / Hybrid or Remote
  • Work Schedule - Monday - Friday
  • Must be flexible to work in a shifting schedule to accommodate the needs of the executive team.
