Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative and strategic support to the Chief Financial Officer (CFO) and Chief Human Resources Officer (CHRO).

This role requires exceptional confidentiality, strong coordination skills, and the ability to manage multiple priorities in a fast-paced corporate environment.

Key Responsibilities

Executive Support

  • Manage complex calendars, schedule meetings, and coordinate internal and external appointments.
  • Prepare agendas, presentations, reports, and board/leadership meeting materials.
  • Screen calls, emails, and correspondence, prioritizing communication effectively.
  • Draft professional communications on behalf of the CFO and CHRO.

Stakeholder & Board Coordination

  • Liaise with senior leadership, board members, investors, auditors, and HR leadership teams.
  • Coordinate leadership meetings, town halls, and cross-functional reviews.
  • Record minutes of meetings and track action items to closure.

Financial & HR Coordination

  • Support preparation of financial reports, budgeting schedules, compliance documentation, and audit coordination.
  • Assist with HR dashboards, workforce reports, compensation reviews, and policy documentation.
  • Track key KPIs and follow up across Finance and HR functions.

Travel & Logistics

  • Manage domestic and international travel arrangements, including visas and itineraries.
  • Prepare travel briefs and coordinate expense management.

Confidentiality & Documentation

  • Maintain strict confidentiality of financial, personnel, and strategic information.
  • Organize and maintain digital and physical records systematically.

Qualifications & Skills

  • Master's degree in business administration or a related field.
  • 25 years of experience supporting C-suite executives, preferably in Finance or HR functions.
  • Strong proficiency in MS Office (Excel, PowerPoint, Outlook) and collaboration tools.
  • Exceptional written and verbal communication skills.
  • High discretion and integrity in handling sensitive information.
  • Strong organizational, time management, and problem-solving abilities.
  • Ability to work independently and manage competing priorities.

Preferred Experience

  • Experience in a listed company or large corporate environment.
  • Exposure to board-level documentation and investor communications.
  • Familiarity with HRIS and financial reporting systems.
