The Executive Assistant to the CTO plays a pivotal role in enabling executive focus, operational clarity, and organizational momentum. By managing critical priorities, safeguarding the CTO's time, and ensuring seamless execution across time zones, this role strengthens the effectiveness of the technology organization. Through exceptional scheduling, communication, coordination, and operational support, the Executive Assistant ensures the CTO can operate at maximum impact.

Primary Objectives

  • Provide proactive, highjudgment administrative and operational support to the CTO.
  • Serve as a strategic gatekeeper, ensuring the CTO's time and attention align with business priorities.
  • Prepare the CTO for meetings, decisions, and crossfunctional engagements through effective briefing, documentation, and followthrough.
  • Facilitate communication and coordination across engineering, product, and business teams.
  • Maintain accuracy, confidentiality, and timeliness in all deliverables.
  • Streamline administrative workflows using MS Office, Google Workspace, and internal systems.

Detailed Job Duties: (typical monthly, weekly, daily tasks which support the primary objectives)

  • Manage the CTO's complex, timezonesensitive calendar with strong prioritization and judgment.
  • Monitor inboxes, draft communications, and ensure timely, highquality responses.
  • Prepare agendas, briefing materials, meeting notes, and action trackers to support informed decisionmaking.
  • Ensure the CTO is fully prepared for meetings, presentations, and leadership discussions.
  • Handle highly sensitive information and strategic initiatives with absolute discretion.
  • Coordinate domestic and international travel, including visas, itineraries, accommodations, and logistics.
  • Prepare weekly reports, dashboards, and executive summaries for leadership visibility.
  • Support planning cycles, quarterly business reviews, and crossfunctional documentation.
  • Liaise with internal and external stakeholders on behalf of the CTO to maintain momentum on key initiatives.
  • Identify opportunities to streamline processes and enhance administrative efficiency.
  • Organize team events and special initiatives (e.g., hackathons, leadership offsites).

The MUST Haves: (ex: job cannot be done without these skills, education, experience, certifications, licenses)

  • Three or more (3+) years of experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Proven experience supporting senior leaders in multinational or fastpaced environments.
  • Strong proficiency in Google Workspace and online collaboration tools.
  • Excellent written and verbal communication skills in English.
  • Demonstrated ability to manage complex calendars, travel, expenses, and reporting independently.
  • High attention to detail, confidentiality, and organizational discipline.
  • Ability to work U.S.aligned hours, including Pacific Time, with occasional flexibility.
  • Strong problemsolving skills and the ability to anticipate needs and risks.
  • AI proficiency.
  • Experience preparing meeting summaries and updating data dashboards.
  • Experience supporting multiple executives and navigating competing priorities.
