Job Title: Executive Assistant – Chairman's Office
Experience- 4+ years
Ctc- upto 6 lpa (depends on interview)
Working days – 6 days (2nd & 4th Saturday off)
Role Overview
We are seeking a capable and highly organized professional to provide executive and
administrative support to the Chairman and senior management. The role requires strong
coordination ability, responsiveness, professional maturity, and the ability to manage
schedules, travel, follow-ups, and confidential matters efficiently in a fast-paced environment.
Experience Required
- 4+ years of relevant experience, preferably in roles involving direct support to senior leadership,
- Chairman's Office, promoter office, or institution-facing environments.
Key Responsibilities
- Manage the Chairman's calendar, appointments, meetings, and daily schedule
- Coordinate internal and external meetings, including scheduling, confirmations, reminders, and follow-ups
- Handle travel planning and logistics for the Chairman and senior management, including itineraries, bookings, accommodation, and local coordination
- Track action points, pending matters, and priority follow-ups to support timely closure
- Draft and manage routine correspondence, emails, notes, and other administrative communication as required
- Support the preparation of presentations, briefing notes, meeting materials, and management documents
- Maintain organized records, schedules, trackers, and confidential documentation relating to the Chairman's Office
- Coordinate with internal teams, external stakeholders, service providers, and administrative counterparts for smooth day-to-day execution
- Assist in handling priority assignments and time-sensitive matters arising from the office of the Chairman and senior management
- Provide reliable coordination support in line with the travel schedules of the Chairman and senior management, including the ability to work across changing priorities, international travel plans, and multiple time zones
Preferred Exposure
- Preference will be given to candidates with prior exposure to:
- Chairman's Office or promoter office support
- Senior management coordination
- Government-facing or institutional coordination
- Protocol-sensitive environments
- External stakeholder management
Skills & Attributes
- Strong calendar, scheduling, and travel coordination capability
- Good administrative, documentation, and follow-up skills
- Strong written and verbal communication in English
- Ability to draft professional emails and routine business correspondence
- Proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint
- High level of discretion in handling confidential and time-sensitive matters
- Organized, dependable, detail-oriented, and proactive
- Able to work under pressure and manage changing priorities effectively
- Ability to operate with flexibility and responsiveness in a travel-intensive environment involving changing schedules, multiple geographies, and cross-time-zone coordination
Educational Qualification
- Graduate in any discipline from a recognized institution
- Additional qualifications in administration, office management, or secretarial practice would be an advantage
