About the Role

The Executive Assistant (EA) will provide dedicated, high-level administrative, secretarial, and logistical support to the Reporting Supervisor in the MIT College of Management (MITCOM). The role is critical in ensuring the smooth and efficient operation of the academic, research, and administrative functions.

Responsibilities

Administrative and Communication Support

  • Communication & Follow-up: Serve as the primary point of contact for the supervisor. Proactively follow up with internal faculty, staff, students, and external stakeholders to ensure deadlines are met and pending tasks are addressed.
  • Documentation Management: Maintain and organise confidential and routine documentation, including academic records, course-related materials, research papers, and administrative files.
  • Correspondence: Draft, proofread, and manage professional correspondence (emails, letters, memos) on behalf of the supervisor.

Academic and Course Support

  • Course Documentation: Assist in the preparation, compilation, and maintenance of all course-related documentation, including syllabus, lecture notes, and examination records.
  • Calendar Management: Manage the supervisor's professional calendar, scheduling meetings, appointments, and departmental reviews.

Logistics and Event Coordination

  • Event Logistics: Arrange and coordinate all logistical requirements for events, including seminars, workshops, and guest lectures. This includes booking venues, managing AV equipment, coordinating with catering, and sending invitations.
  • Travel Arrangements: Assist with planning and booking official travel for the supervisor or department guests.
  • Financial Administration: Prepare and process travel reimbursement forms and other basic financial documentation accurately and promptly.

Qualifications

  • Education: Bachelor's Degree (Graduate) from a recognised university in any discipline.
  • Language: Fluency in English (both written and verbal) is mandatory.

Required Skills

  • Computer Proficiency: Expertise in MS Office Suite (Word, Excel, PowerPoint) and a high level of general computer handling skills for data entry, presentation creation, and administrative tasks.
  • Organisational Skills: Exceptional ability to organise, prioritise, and manage multiple tasks and deadlines efficiently.
  • Interpersonal Skills: Professional demeanour, a proactive attitude, and the ability to interact effectively with all levels of university personnel.
  • Confidentiality: Ability to handle sensitive information and maintain strict confidentiality.
