Position: Executive Assistant- MD

Qualificaiton: Any Graduate

Experience: 1-3 yrs

Job Location: Ahmedabad

Joining: Immediately

Mandatory Skills: English & MS office

Salary: 15 K - 20 K p.m.

Roles

The Executive Assistant provides administrative and coordination support to senior leaders, ensuring smooth day-to-day operations. This role is ideal for someone early in their career who is organized, proactive, and comfortable juggling tasks without letting anything slip between the calendar cracks.

Key Responsibilities1. Administrative & Office Support
  • Manage calendars, appointments, and meeting schedules.
  • Coordinate travel arrangements, accommodations, and itineraries.
  • Draft emails, letters, reports, and basic presentations.
  • Maintain organized filing systems (digital & physical).
2. Communication & Coordination
  • Serve as the first point of contact for internal and external stakeholders.
  • Handle routine communication on behalf of the executive.
  • Prepare meeting agendas and take minutes during meetings.
  • Follow up on action items to ensure timely completion.
3. Data & Document Management
  • Assist in preparing data for reviews, presentations, and reports.
  • Handle confidential information with professionalism.
  • Track deadlines, deliverables, and day-to-day priorities.
4. Operational Support
  • Coordinate small events, meetings, and team activities.
  • Support procurement of office supplies and vendor coordination.
  • Assist with basic expense tracking, reimbursements, and budget notes.
5. Executive Assistance
  • Keep the executive organized, updated, and on-schedule.
  • Flag issues that need attention and provide timely reminders.
  • Support personal tasks when assigned (light, non-intrusive duties).
Required Skills & Qualifications
  • Bachelor's degree in any discipline.
  • 13 years of experience in administration, coordination, or assistant roles.
  • Strong written and verbal communication skills.
  • Proficient in MS Office/Google Workspace.
  • Excellent time management and prioritization abilities.
  • High level of confidentiality and professionalism.
  • Calm under pressure even when the calendar behaves like a puzzle cube.
Preferred Skills
  • Exposure to working with senior management.
  • Basic knowledge of project coordination.
  • Ability to draft simple reports or follow templates.
