Key Responsibilities:
Executive Support to MD-
- Manage the MDs calendar, schedule meetings, and handle appointment coordination.
- Draft, review, and manage emails, letters, and communications on behalf of the MD.
- Prepare presentations, reports, and business documents as required.
- Maintain confidentiality and handle sensitive information responsibly.
- Act as a point of contact between the MD and internal/external stakeholders.
- Coordinate meetings, prepare agenda, and document minutes with timely follow-ups.
- Track progress on tasks assigned by the MD to various departments.
Administrative Management-
- Oversee office administration activities and ensure smooth day-to-day functioning.
- Manage travel itineraries, hotel bookings, and logistics for the MD and leadership team.
- Handle vendor coordination for office supplies, facilities, and services.
- Ensure proper documentation, filing, and record management.
- Monitor office maintenance and housekeeping to ensure a professional work environment.
- Supervise admin staff (receptionist, housekeeping, office boy, etc.), if applicable.
Coordination & Communication-
- Liaise with department heads on behalf of the MD for updates, reports, and follow-ups.
- Facilitate effective communication between the MD and employees.
- Maintain professional relationships with external partners, clients, and visitors.
Project & Task Monitoring-
- Assist the MD in ongoing projects by coordinating deadlines and deliverables.
- Prepare progress reports, MIS summaries, and follow-up trackers.
- Support in planning events, internal meetings, off-sites, and special initiatives.
