Job Description

Job Purpose

The Executive Assistant will provide comprehensive support to the CMO JWC, managing administrative, coordination, and strategic support responsibilities. This role operates within the marketing ecosystem at JWC and requires a proactive, detail-oriented professional who thrives in a fast-paced and dynamic environment.

Job Accountabilities

v Executive Support

Manage calendar, appointments, and meetings.

Arrange travel plans, itineraries, and accommodations.

Prepare and refine correspondence, reports, and marketing presentations.

Support preparation for leadership reviews and strategy discussions.

Act as the primary point of contact for internal & external communication on behalf of the CMO.

Handle confidential and sensitive information with discretion.

v Administrative Management

Ensure smooth functioning of the CMOs office.

Organize and maintain digital and physical filing systems.

Oversee expense reports, invoices, and budget coordination.

Track key deliverables, campaign timelines, and project milestones.

v Event and Marketing Coordination

Support planning and execution of brand campaigns, events, and marketing activations at JWC.

Coordinate with internal teams, agencies, partners, and vendors.

Manage guest lists, RSVPs, and stakeholder communication for key initiatives.

v Project Support

Assist with brand initiatives, campaigns, and special projects.

Conduct research and prepare briefing notes and presentations when required.

v Stakeholder Management

Build and maintain positive relationships with key stakeholders and partners.

Professionally represent the CMO JWC in all interactions.

v Team Management

Coordinate across the CMOs direct reportees and extended marketing team.

Encourage clear communication and collaboration.

Monitor follow-ups and ensure accountability across teams.

Organize team meetings and engagement activities.

Maintain an updated database of partners and agencies.

Coordinate with senior leadership assistants and cross-functional teams.

Qualifications

Bachelors degree in Business Administration, Arts Management, Communications, Marketing, or related field.

Experience

6+ years of experience in a similar role, preferably supporting senior leadership in marketing, media, cultural, or events environments.
