Job Description

We are looking for a highly organized, proactive, and dependable Executive Assistant to provide high-level administrative, coordination, and strategic support to the Director and senior management. The role involves managing schedules, preparing reports, coordinating across departments, tracking project updates, and ensuring smooth execution of business activities across multiple projects.

The ideal candidate should be detail-oriented, strong in follow-ups, good with documentation, and comfortable handling confidential and time-sensitive work.

Key Responsibilities

1. Executive Support

  • Manage calendar, meetings, appointments, and travel schedules for Management
  • Prepare agenda, minutes of meeting (MOM), and action trackers
  • Draft emails, letters, presentations, and official communication
  • Handle confidential documents and business information
  • Follow up with internal teams on pending tasks and deadlines

2. Coordination across Departments

  • Coordinate with Sales, Marketing, Finance, CRM, Legal, HR, and Project teams
  • Track daily / weekly / monthly reports from teams
  • Maintain project status updates and summary reports
  • Ensure timely updates to management

3. Reporting & Documentation

  • Prepare reports, presentations, and summaries
  • Maintain records of agreements, proposals, approvals, and documents
  • Assist in preparing project proposals, business plans, and presentations
  • Maintain proper filing (digital + physical)

4. Project & Business Follow-ups

  • Track updates on ongoing real estate projects
  • Follow up on sales numbers, marketing activities, and approvals
  • Coordinate with consultants, partners, vendors, and clients
  • Assist management in monitoring multiple projects simultaneously

5. Client / Investor / Partner Coordination

  • Schedule meetings with clients, investors, and partners
  • Maintain database of contacts and business communication
  • Assist in preparing project briefs
  • Follow up on commitments made in meetings

6. Administrative & Office Support

  • Support in office administration when required
  • Coordinate with vendors, agencies, and service providers
  • Assist in organizing events, meetings, site visits, and reviews

7. Confidential & Sensitive Work

  • Handle confidential business data
  • Maintain discretion in all communication
  • Work closely with Director on priority assignments

Requirements

  • Graduate in any stream
  • 5+ years experience as Executive Assistant
  • Excellent communication skills (English + Hindi), Marathi is a bonus
  • Strong MS Excel, Word, PowerPoint skills
  • Good documentation and reporting ability
  • Strong follow-up and coordination skills
  • Ability to handle multiple tasks and deadlines
