Executive Assistant to Executive Director
Position Title: Executive Assistant

Location: Wadala, Mumbai
Position Overview
The Executive Assistant to the Executive Director plays a dual role of high-level executive support and strategic project enablement. This role provides analytical, operational, and coordination support across the Director's Office, Strategy Office, and Finance Office. The position requires strong problem-solving capability, structured thinking, data analysis skills, and the ability to drive time-bound, cross-functional priorities. The EA acts as a strategic lever to enhance decision-making, accelerate key initiatives, and ensure seamless communication between internal and external stakeholders.
Key Responsibilities
1. Support for Executive Director
Back-office & Administrative Support
- Manage documentation, records, correspondence, and ad-hoc operational tasks.
- Prioritize and execute high-impact and time-bound tasks that do not fall under any specific department.
Strategic Projects & Special Assignments
- Serve as the Point of Contact (POC) for special projects including acquisitions, new facilities, and other high-priority initiatives.
- Provide backend project management supporttracking progress, consolidating updates, data crunching, and preparing business models and presentations.
- Conduct research, feasibility studies, risk assessments, and financial modelling for strategic decisions.
MIS & Data Support
- Prepare and analyze MIS related to EXIM, Sales, Trading, and other business functions.
- Develop dashboards, summaries and decision-support insights for the Executive Director.
External Stakeholder Management
- Act as management's POC for industry and regulatory bodies such as LBMA, LPPM, MCX, IIBX and others.
- Coordinate communication, documentation, and follow-ups with key partners and regulators.
2. Support for Strategy Office
- Provide financial and data analysis support including business models, strategic calculations, feasibility and scenario analysis.
- Collaborate with EXIM, IT, Finance, Operations, and business leaders to bring synergy and support cross-functional strategy initiatives.
- Act as the go-to connector between multiple project owners and the Strategy Office to ensure alignment and timely execution.
- Support implementation of change management programs to drive adoption of new strategies.
- Assist in aligning renewable energy operations including solar and wind projects with sustainability and ESG goals.
3. Support for Finance Office
- Liaise with IIBX, IIDI, MCX and other regulatory or trading bodies for finance-related operations.
- Assist during compliance audits for LBMA, LPPM, MCX and other authoritiesdata coordination, documentation and follow-ups.
- Conduct financial analysis, data compilation, reconciliations, and support trading-related reporting.

Qualifications & Experience
- Bachelor's degree in Business, Finance, Economics, Engineering, or relevant field (MBA preferred).
- 38 years of experience in roles involving executive support, strategy, business analysis, finance, or project coordination.
- Strong analytical skills with proficiency in Excel, PowerPoint, and data modelling.
- Experience in working with cross-functional teams and senior leaders.
- Exposure to trading, EXIM, financial compliance, or regulatory bodies (preferred but not mandatory).
