About The Role
We are looking for a dynamic and detail-oriented Executive Assistant to provide comprehensive administrative, operational, and coordination support to the Head of Department. This role extends beyond traditional EA responsibilities and includes exposure to accounts, finance coordination, legal documentation, and project tracking. The individual will play a critical role in ensuring seamless departmental functioning, effective stakeholder communication, and timely execution of key priorities.
Key Responsibilities
Executive & Administrative Support
- Manage the HOD's calendar, schedule meetings, and coordinate internal and external appointments
- Organize travel arrangements including bookings, itineraries, and reimbursements
- Maintain records, documents, and filing systems—both physical and digital
- Support in organizing departmental reviews, events, workshops, and offsites
- Provide administrative support for day-to-day departmental activities
Communication & Stakeholder Coordination
- Act as a single point of contact between the HOD and internal/external stakeholders
- Draft, review, and respond to emails and official communication when required
- Coordinate with cross-functional teams for follow-ups, approvals, and updates
- Ensure smooth information flow across teams for timely execution
Accounts & Financial Coordination
- Manage expense statements, invoices, and cost tracking for departmental activities
- Support budgeting processes and maintain expense records
- Maintain subscription records and DISCO account sheets
- Assist in purchase requisitions, vendor coordination, and financial documentation
Legal & Contract Coordination
- Support drafting and reviewing contracts and agreements
- Coordinate with the legal team for contract finalization and compliance
- Maintain records of contracts and related documentation
Operational & Project Support
- Track project timelines and follow up on key deliverables
- Provide coordination support for innovation and rapid prototyping initiatives
- Assist with onboarding coordination for new joiners
Education:
- Graduate in any discipline
Experience:
- Experience in accounts, administrative coordination, or contract management is an added advantage
- Exposure to corporate office environments is preferred
Skills:
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time-management skills
- Strong verbal and written communication skills
- Ability to multitask and work in a fast-paced environment
- High attention to detail and commitment to quality
- Strong coordination and stakeholder management skills
- High level of integrity, discretion, and reliability
