Job Roles & Responsibilities
- Provide comprehensive secretarial and administrative support to the assigned office.
- Manage calendars, appointments, meetings, events, and travel schedules.
- Screen calls, emails, and correspondence; priorities and respond where appropriate.
- Draft professional correspondence, prepare briefing notes, presentations, agendas, and official communications.
- Coordinate and schedule internal and external meetings.
- Prepare meeting agendas, record Minutes of Meetings (MoM), and track action points for follow-up.
- Coordinate communication and interactions between senior offices and Deans, Directors, faculty, staff, students, governing bodies, and external stakeholders.
- Maintain confidential files, documents, and records.
- Ensure timely dissemination of information and follow-ups on instructions issued.
- Monitor deadlines and ensure timely completion of assigned tasks.
- Coordinate with various departments for reports, data, and presentations.
- Support planning and execution of high-level events, visits, and official functions.
- Handle sensitive and confidential information with utmost integrity and discretion.
- Maintain professionalism in all interactions representing the office.
- Demonstrate flexibility in working hours, including late evenings, early mornings, and weekends, as required.
- Be available to provide extended support during critical periods, high-level meetings, events, and emergency or time-sensitive situations.
- Be open to travel, as and when required, for official visits, meetings, conferences, and institutional engagements.
- Coordinate logistics related to travel, accommodation, itineraries, and official documentation.

- Strong organizational and multitasking abilities.
- High level of professionalism, confidentiality, and discretion.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and manage priorities under pressure.
- Strong interpersonal and coordination skills.
Educational Qualification & Experience
- Graduate / Post-Graduate in any discipline (MBA / Management background preferred).
- Minimum 36 years of experience as an Executive Assistant / PA to Senior Leadership (President, Vice-Chancellor, CEO, Director, Dean, or equivalent).
- Experience in an academic or institutional environment will be an added advantage.
