About The Role
We are a fast-growing business coaching and entrepreneurship development organization working with founders and SME owners across India. As we scale, we're looking for a sharp, high-ownership Executive Assistant cum Admin Executive who thrives in a dynamic, high-output environment.
This role sits at the intersection of executive support and office operations. You'll be the organizational backbone — keeping leadership calendars tight, vendors accountable, payments tracked, and the office running without friction. If you are someone who anticipates needs before they arise, communicates clearly under pressure, and takes pride in operational excellence, this role is built for you.
Key Responsibilities
Executive Support & Scheduling
- Manage the executive's calendar, meetings, appointments, and travel coordination
- Screen and prioritize emails, calls, and communication on behalf of leadership
- Prepare reports, presentations, MIS documentation, and briefing notes
Office Administration
- Oversee day-to-day office operations and ensure smooth facility management
- Maintain records, files, and documentation in an organized, audit-ready manner
- Handle attendance tracking, workforce records, and employee data management
Vendor & Payment Coordination
- Liaise with vendors — negotiate, follow up, and ensure timely delivery of services
- Coordinate invoice processing and payment follow-ups with the accounts team
- Track pending payments and escalate delays proactively
Employee Engagement & Events
- Plan and execute internal employee engagement activities and office events
- Support onboarding logistics and team coordination activities
Cross-functional Coordination
- Act as a communication bridge between leadership and internal teams
- Support management in business operations and ad hoc projects as required
Required Skills
- Excellent verbal and written communication in English
- Strong calendar and task management discipline
- Vendor negotiation and relationship management
- Proficiency in MS Office — Excel, Word, Outlook (mandatory)
- High attention to detail with strong multitasking ability
- Professional, solution-oriented mindset with a proactive work ethic
Qualifications & Experience
- Graduate in any discipline
- 3–5 years of experience in an EA, Admin Executive, or Executive Support role
- Prior experience in a coaching, training, consulting, or service-based organization preferred
