Job Summary:
The Executive Assistant will provide high-level administrative support to senior leadership, ensuring smooth daily operations and efficient management of calendars, communication, and office activities. The role requires strong organizational skills, professionalism, and the ability to handle sensitive information with discretion.
Key Responsibilities:
- Manage executive calendars, schedule appointments, and coordinate meetings.
- Prepare reports, presentations, and documentation for internal and external communication.
- Draft, review, and manage correspondence, emails, and memos on behalf of executives.
- Maintain organized filing systems (digital and physical).
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Organize and coordinate travel itineraries, accommodations, and logistics.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Assist in planning, tracking, and executing special projects assigned by management.
- Coordinate with internal departments to ensure timely completion of tasks.
- Handle confidential information with discretion and integrity.
- Maintain a high level of professionalism in all interactions.
Social Media Coordination:
- Assist the Executive in managing personal social media platforms (e.g., Instagram, LinkedIn, Facebook, TikTok as applicable).
- Draft and schedule simple posts, stories, and updates based on guidance.
- Help with capturing photos and short videos for personal content when required.
- Maintain and update a basic content calendar.
- Monitor comments/messages and flag important items to the Executive.
Qualifications & Experience:
- 35 years of experience as an Executive Assistant, Secretary.
- Basic experience in social media handling (personal branding, Instagram/LinkedIn content, etc.).
- Excellent communication skills (written and verbal).
- Proficient in MS Office (Word, Excel, PowerPoint) and comfortable using mobile apps/social media.
- Strong organizational and multitasking abilities.
- High level of discretion, confidentiality, and trustworthiness.
- Positive attitude, willingness to learn, and ability to work with minimal supervision.
