Job Description

We are looking for a highly energetic and proactive Executive Assistant with strong communication skills and a professional, product-company-like approach to executive support. The ideal candidate should be experienced in managing senior leadership calendars, handling confidential information, coordinating events, and managing business operations support activities efficiently.

Key Responsibilities:

  • Coordinate onboarding of new employees, providing a smooth and professional experience that aligns with product company standards.
  • Manage executive calendars, schedule meetings, and ensure confidentiality in all communications and operations.
  • Organize internal and external events, leadership visits, and team engagements.
  • Handle travel arrangements including booking, itineraries, and logistics for domestic and international travel.
  • Process expense reports and ensure compliance with internal policies and timelines.
  • Manage and maintain access to SharePoint, Microsoft Teams, and related collaborative tools.
  • Assist in Concur-based approval workflows for travel, expenses, and procurement.
  • Maintain structured meeting notes and action items using Microsoft OneNote and other tools.
  • Act as a reliable point of contact between leadership and internal/external stakeholders.

Desired Skills & Qualifications:

  • Bachelor's degree in any discipline.
  • 28 years of experience as an Executive Assistant, preferably in a technology or product-based organization.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office 365, especially Outlook, Teams, SharePoint, OneNote.
  • Experience with Concur or similar expense/travel management platforms.
  • High attention to detail, time management, and ability to multitask.
  • Proactive, positive attitude with the ability to maintain professionalism under pressure.
