We are looking for a highly energetic and proactive Executive Assistant with strong communication skills and a professional, product-company-like approach to executive support. The ideal candidate should be experienced in managing senior leadership calendars, handling confidential information, coordinating events, and managing business operations support activities efficiently.
Key Responsibilities:
- Coordinate onboarding of new employees, providing a smooth and professional experience that aligns with product company standards.
- Manage executive calendars, schedule meetings, and ensure confidentiality in all communications and operations.
- Organize internal and external events, leadership visits, and team engagements.
- Handle travel arrangements including booking, itineraries, and logistics for domestic and international travel.
- Process expense reports and ensure compliance with internal policies and timelines.
- Manage and maintain access to SharePoint, Microsoft Teams, and related collaborative tools.
- Assist in Concur-based approval workflows for travel, expenses, and procurement.
- Maintain structured meeting notes and action items using Microsoft OneNote and other tools.
- Act as a reliable point of contact between leadership and internal/external stakeholders.
Desired Skills & Qualifications:
- Bachelor's degree in any discipline.
- 28 years of experience as an Executive Assistant, preferably in a technology or product-based organization.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office 365, especially Outlook, Teams, SharePoint, OneNote.
- Experience with Concur or similar expense/travel management platforms.
- High attention to detail, time management, and ability to multitask.
- Proactive, positive attitude with the ability to maintain professionalism under pressure.
