About the Role
The Executive Assistant to the CEO's Office will provide comprehensive administrative, operational, and coordination support to the CEO and their household, ensuring seamless efficiency across business and personal workflows. This role involves managing complex calendars, travel logistics, documentation, communication, and stakeholder interactions with discretion and precision.
The role requires strong organizational and communication skills, proactive follow-through on tasks and commitments, and the ability to collaborate across teams and external partners. This position is well-suited to someone who thrives in a fast-paced environment, upholds high standards of confidentiality, and delivers consistently high-quality work.
Roles and Responsibilities
- Provide timely and accurate administrative support to the CEO and household members.
- Schedule, manage, and optimize the CEO's calendar and coordinate meetings.
- Ensure meetings are supported with agendas, pre-reads, minutes, and relevant documents.
- Maintain Minutes of Meetings (MoMs) and facilitate timely follow-ups with relevant stakeholders.
- Welcome guests and visitors, and programme-manage meetings according to schedule.
- Document, track, follow up on, and ensure completion of tasks, commitments, and deliverables across initiatives and projects.
- Draft emails, communications, letters, and personal correspondence as required.
- Manage confidential documents, maintain digital filing systems, compile reports, and keep all relevant information current across shared drives.
- Research, prioritize, and respond to incoming requests, issues, or concerns.
- Collaborate with cross-functional teams, programme leads, and Embassy Group stakeholders.
- Work with the admin team and travel agencies to plan and execute travel for the CEO and household members.
- Support the planning and execution of monthly, weekly, and annual events - including business events, stakeholder meals, team meetings, QBRs, and personal occasions.
- Manage business travel and accommodation, and track all related expenses.
- Maintain paperwork and documentation for the CEO's office.
- Manage personal paperwork and documentation for the CEO and household members, including ensuring travel documents such as passports, visas, and permits remain valid for frequent destinations.
- Track, budget, and update expenses on tools such as Fast Collab, Aerchain, and SAP.
- Maintain a tracker of recurring fees and payments on behalf of the CEO and household, including club memberships (YPO, Bay Club, BLR Club, KGA, etc.), school fees, and credit card payments.
- Maintain a database of key business and personal contacts, including addresses, phone numbers, and important dates.
- Support relationship management by coordinating gifts, flowers, and celebrations for key contacts.
- Assist with creative deliverables such as spreadsheets, event invitations, and presentations.
Experience and Qualifications
- Bachelor's or Master's degree in Business or a related field.
- 6+ years of experience supporting C-suite executives.
- Experience in cross-stakeholder collaboration, partnership development, and travel management.
- Strong interpersonal skills and ability to work effectively with diverse stakeholders.
- Excellent problem-solving and decision-making abilities.
- Ability to manage competing priorities and adapt to changing demands.
- Demonstrated ability to handle confidential information with discretion.
- Proficiency with Microsoft Office, Google Suite, and travel management tools.
- Clear, concise, and effective written and verbal communication skills.
- Proven track record of consistent, high-quality delivery.
- Degree in Hospitality or a related field.
- Prior experience in programme management, guest relations, travel coordination, or stakeholder management.
- Proven experience as an Executive Assistant or in a senior secretarial role.
