We are seeking a dynamic and experienced Executive Assistant (EA) to provide high-level administrative support to our executive team. The ideal candidate will be a proactive and detail-oriented professional with strong organizational skills and the ability to thrive in a fast-paced, rapidly evolving environment. The EA will play a critical role in facilitating the productivity and effectiveness of our executives, enabling them to focus on strategic initiatives and business growth.
Key Responsibilities:
- Calendar Management:Effectively manage executives calendars, scheduling meetings, appointments, and events while prioritizing conflicting priorities and ensuring optimal time management.
- Communication:Serve as the primary point of contact for internal and external communications, screening emails, phone calls, and other inquiries, and responding promptly and professionally as needed.
- Travel Coordination:Coordinate complex travel arrangements for executives, including flights, accommodations, and ground transportation, ensuring seamless logistics and adherence to travel policies and budgets.
- Document Preparation:Prepare and edit correspondence, presentations, reports, and other documents with accuracy and attention to detail, ensuring consistency and alignment with company standards.
- Meeting Support:Assist with meeting preparation, including agenda development, document distribution, and minute-taking, as well as follow-up on action items to facilitate effective decision-making and execution.
- Information Management:Maintain organized electronic and physical filing systems, ensuring easy access to documents and information as needed, and safeguarding sensitive and confidential data with utmost discretion.
- Administrative Assistance:Provide general administrative support to executives, including expense reporting, invoice processing, office supply management, and other ad hoc tasks to enhance operational efficiency and effectiveness.
- Relationship Management:Build and maintain positive working relationships with internal and external stakeholders, representing the executives professionally and fostering collaboration and teamwork across the organization.
Qualifications:
- Bachelors degree in Business Administration, Finance, or related field preferred.
- Proven experience as an Executive Assistant or similar role, preferably in the fintech industry or a related field.
- Excellent organizational and time management skills, with the ability to multitask, prioritize tasks effectively, and meet deadlines in a dynamic environment.
- Strong communication skills, both verbal and written, with the ability to interact professionally with individuals at all levels of the organization.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- High level of integrity and discretion, with the ability to handle confidential information with sensitivity and confidentiality.
- Adaptability and resourcefulness in addressing challenges and finding solutions in a rapidly changing business environment.
Preferred Qualifications:
- Experience working in a fintech company or a financial services institution.
- Knowledge of financial terminology, products, and services.
- Familiarity with project management tools and software.
- Previous experience coordinating international travel arrangements for executives
